1. Who We Are

MB "Planuotojas" (Defined Chase) ("Defined Chase", "we", "us") is a digital marketing agency registered in Lithuania. We operate the Defined Chase Client Portal at app.definedchase.com to provide marketing performance reporting to our clients.

2. Data We Collect

When you use our portal, we may collect:

  • Account information: Name, email address, profile picture (via Google or Facebook login)
  • Connected platform data: Advertising performance metrics, organic social media metrics, Search Console data, and analytics data from platforms you connect (Google, Meta, LinkedIn)
  • Usage data: Pages visited, features used, and session information

3. How We Use Your Data

  • To display marketing performance reports in the portal
  • To generate automated insights and recommendations
  • To send scheduled reports and notifications (when configured)
  • To improve our services and fix issues

4. Data Processors

We use the following third-party services to process data:

  • Google Cloud Platform (BigQuery): Data storage and analytics
  • Firebase (Google): Authentication and configuration storage
  • Vercel: Web application hosting

5. Data Retention

We retain platform data for as long as your account is active and the client relationship exists. You may request data deletion at any time by contacting us.

5a. LinkedIn Marketing API Data

When you authorize Defined Chase to access your LinkedIn Ad Account(s), Pages, or Lead Gen Forms via OAuth, we use LinkedIn's Marketing API and Lead Sync API to retrieve the following data on your behalf:

  • Campaign performance metrics — daily impressions, clicks, spend, conversions, video views, reach and frequency at campaign / campaign group / creative level
  • Lead Gen Form responses — name, email, company, job title, custom hidden fields, and any other fields you have configured on your LinkedIn Lead Gen Forms
  • Account, campaign, creative, and form metadata — names, IDs, status, objectives, targeting facets used at campaign-create time

How we use it. Solely to (a) display reporting in your authenticated tenant of the portal, (b) deliver Lead Gen Form responses to the destinations you have configured (your CRM, webhook, or notification channel), and (c) generate scheduled reports we have agreed to send to you. We do not use LinkedIn data for advertising targeting, audience building, lookalike modeling, retargeting, profiling, or any purpose other than the agency / SaaS service you have engaged us for.

Sharing. LinkedIn data is never sold, never shared with other Defined Chase customers, and never shared with third parties other than the destinations you have explicitly configured (your CRM, your webhook). Each customer's data is isolated at the application layer; cross-tenant access is technically prevented at the API layer.

Retention. Lead-level data is retained in our infrastructure for 90 days for audit and reconciliation purposes; aggregate campaign performance data is retained for the duration of the customer relationship plus a reasonable historical window for year-over-year comparisons. The system of record for leads is your CRM, not the portal.

Deletion + revocation. You may revoke our OAuth access to your LinkedIn assets at any time through LinkedIn's account settings, which immediately stops further data ingestion. You may additionally request deletion of all LinkedIn data already ingested by emailing info@definedchase.com; we will process such requests within 30 days.

Our use of LinkedIn data is governed by the LinkedIn API Terms of Use in addition to this Privacy Policy.

5b. AI & Automated Insights

To generate automated insights, report narratives, and the answers you get from the Chase assistant inside the portal, we send the marketing and account data shown in your portal to AI providers acting as our data processors:

  • Anthropic (Claude): generating insights, report narratives, and Chase assistant answers
  • OpenAI: generating insights and supporting AI features

Used only for you. AI providers process this data transiently and solely to produce your own reports and answers. We do not use your data to build cross-client models, profiles, or audiences.

Not used to train models. Your data is not used to train AI models. It is sent under enterprise / API terms under which the provider does not retain inputs or outputs for model training.

Retention. AI providers do not retain your data beyond the transient processing of each request. Reports and insights generated for you are stored in your authenticated tenant of the portal, subject to the retention terms above.

Opting out. AI features are optional. You can opt out at any time by contacting your account manager or emailing info@definedchase.com; your reporting continues to work without them.

6. Your Rights (GDPR)

As an EU-based company, we comply with the General Data Protection Regulation. You have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Request erasure of your data
  • Restrict or object to processing
  • Data portability
  • Lodge a complaint with a supervisory authority

7. Cookies

We use essential cookies for authentication and session management. No third-party tracking cookies are used.

8. Changes to This Policy

We may update this policy from time to time. We will notify you of significant changes via email or in-app notification.
